Microsoft Outlook Tips and Hints

  1. How can I find all the messages from a single person in my inbox?
  2. My inbox is full and I want to save messages somewhere else, how do I do that?
  3. Can I save my messages to my local hard drive?
  4. Can I read my Outlook email from a different computer?

1. How can I find all the messages from a single person in my inbox?

You can sort your inbox (or any mailbox) by person by simply clicking once on the word "From" in the line right above the first message. To get back to the chronological listing, simply click once on the word "Received" in the same bar. You can also sort by "importance", "icon", "flag status", "attachment" or "subject" by clicking the appropriate icon in the same bar.

2. My inbox is cluttered and I want to save messages somewhere else, how do I do that?

You can manage your messages better by creating additional mail folders and moving appropriate messages into those folders. When your inbox is open simply go to the "file" menu and choose "new", then slide over into the next menu and choose "folder". You will now see a box that asks you to name your new folder and asks you where you want to put the new folder. Name the folder and select where you want to put it and you are finished. You can put folders inside other folders. For example, I have a folder called "Other Stuff" at the same level as my inbox, sent item, calendar, etc. level and then have folders with messages inside that folder. To move a message from the inbox, simply click on it with the left mouse button and drag it to the folder. In order to see all your folders all the time, you should go to the "view" menu and select "folder list".

3. Can I save my messages to my local hard drive?

You can save messages to your local hard drive, and if you like to keep a lot of messages you should save the messages to your local hard drive because each of us has a limited amount of space on the server for saving messages. To save your messages to the hard drive, go to the "Tools" menu and select "Services". Click the "Add" button. Select "Personal Folder" from the list of options. Type a file name for your personal folder and click the "open" button. In the next dialog box click the "OK" button. The folder will now appear in the Folder list. You can select and drag messages to the newly created folder. When you do, those messages will be copied to your hard drive and removed from the server. You can also create additional folders inside your new personal folder.

4. Can I read my Outlook email from a different computer?

There is a very simple way to access your mail using your web browser (Internet Explorer or Netscape). This also works from anywhere you have a connection to the internet, such as a dial-up connection from an Internet Service Provider such as Mindspring. Open your browser and go to this URL:

http://owa.apsu.edu

Enter your Outlook Username in the Log On box and click the words "click here" which are underlined. A new little box will pop up. In the "User Name" box type apsunet/username. In the "Password" box type your Outlook password and click "ok". The screen in the browser will look slightly different, but all your mailboxes and messages that are stored on the server will be there. In addition to reading your mail, you can reply to messages or send new messages just like at your desk.
