Next Steps

You should receive an e-mail from TrueScreen asking you to complete the Form I-9 to establish your identity and authorize your employment. This form must be completed by your first day of work. 

You may already be familiar with Web Self-Service, as the Student tab it is where you enroll for courses, review your transcript, and look at your account details. Once you begin a student position, an Employee tab will appear next to your Student tab. The Employee tab is specifically used to view and set-up personal employment information.

Using the Employee tab, you will enter your W-4 and Direct Deposit information. Please follow the directions below to complete these items:

As a student worker at APSU, you are eligible to contribute to a deferred compensation plan. You can learn more about the deferred compensation plans available to you by following the button below:

New employees are to complete FERPA training within 60 days from your start date, however your department may ask you to complete it earlier. The training can be accessed at https://www.apsu.edu/human-resources/ferpa-training.

Please contact Human Resources if you have any difficulties completing the training. 

This job is a serious obligation and your performance, attitude, and conduct should reflect this commitment. You are expected to:

  • Establish a work schedule that does not interfere with your class schedule.
  • Report to work on time. Notify your supervisor in advance of any possible delays.
  • Notify your supervisor in advance of any changes to your work schedule or other commitments that will affect work availability.
  • Take the job seriously and perform at the highest level of your ability.
  • Treat your supervisor and fellow employees with respect.
  • Dress appropriately for the job location. Always practice good personal hygiene.
  • Do not use inappropriate or offensive language in the workplace.
  • Do not conduct personal business on the job.
  • Refrain from using cell phones and personal laptops or tablets while on the job.
  • Accurately report the hours you work on your timesheet.
  • Maintain confidentiality at all times.
  • Give appropriate notice if you are leaving a position.

Good attendance and punctuality are important and basic to success in your new job. If you are chronically absent or tardy you cannot fulfill the job for which you were hired.

 Tips for the Workplace:

  • Call your supervisor if you are not able to report for work. Failure to report for a scheduled shift is considered job abandonment and may result in disciplinary action up to and including dismissal.
  • Always provide at least 30 minutes notice if you are ill and not able to report for work.
  • If you call in, be sure to speak directly to your supervisor.
  • Do not let friends call in for you. A parent or spouse may call if you physically cannot call.
  • Provide at least 2 days of notice for any scheduled time off (i.e. exams, projects, vacation).

All student employees are paid on a biweekly basis and all payments are made via direct deposit.

Timesheet Completion

A very important aspect of your job responsibility will be properly completing your timesheet. As such, it is a good practice to maintain your timesheet daily since it will be your responsibility to keep track of your own hours.

To access your timesheet (except for those working in University Recreation, Public Safety, or Physical Plant):

  • Click on OneStop at bottom of APSU home page and then click login.  Log in using your One Stop Username and Password that you currently use when signing on to your computer.
  • Click on Web Self Service
  • At the next screen, click on “Employee” Tab.
  • Click on the Employee Menu and select time sheet.
  • Select the position and pay period you want to enter hours.

  • NOTE:  If you have multiple positions, it is extremely important you select the correct position to enter hours. Be sure you select the correct pay period.

It is the responsibility of employees to keep track of their hours worked. All payments are made via direct deposit.

Things to Know

AT-WILL EMPLOYMENT

At-Will employment applies to Student Employees.  This is an employment relationship of indefinite duration that may be terminated by either party, at any time, without cause or for any reason except one that is unlawful.

ENROLLMENT RESTRICTIONS

As a student employee, you must be enrolled in at least 6 credit hours for the fall and spring or at least 3 credit hours for summer. International students must maintain a full course of study. You are required to notify your supervisor if your schedule changes.

WORK HOUR RESTRICTIONS

Student employees are allowed to work up to 20 hours per week while classes are in session. Student Employees are not allowed to work during scheduled class time. During intersession, a student may work up to 37.5 hours per week at the supervisor’s discretion as long as the student is enrolled in the upcoming semester.

CONFIDENTIALITY

In the course of your student employment, you may be exposed to information and records concerning fellow students and employees. Federal law and University policy protects the privacy and security of this information. As an employee of Austin Peay State University, you are required to treat confidential information with the highest level of privacy, care, and professionalism. It is a good practice to consider all office information and communication as confidential in nature.

WORKER'S COMPENSATION

Tennessee workers' compensation laws are designed to provide benefits to employees who are injured as the result of an accident which occurs in the course of employment. There is no clear cut definition available to describe when an injury is or is not compensable. Employees should perform the duties of their job in a careful manner and report any conditions in the workplace which are hazardous to the Office of Human Resources.
